What is Delegated Access via a Letter of Authority or LoA?
The Letter of Authority (LoA) is a key piece of paperwork when it comes to reviewing and potentially switching your mailing machine provider. It allows a Third Party Intermediary (TPI) to liaise with your current supplier on your behalf.
LoAs are not only used in the mailing sector, they are also used extensively in the energy, financial and medical services industries, it’s a recognised legal document.
LoAs follow a standard format, providing in-depth details of the parties concerned. This ensures that the situation is on a firm setting from the outset and cannot be undermined to prevent progress.
How we use LoAs
Our job is to provide your business with a cheaper postal solution but, before we can do that, we need to ensure we have the correct information to understand the best option and any potential savings. For this we need your permission.
This LoA helps us to gather the correct information for an accurate and concise review, whilst also allowing us to support your business on a transition from your current provider.
Typical information we require for a comprehensive review;
- Details on current postal volume and spend data
- Details on current agreement and committed costs/liabilities
- Machine type (to ensure we demonstrate accurate savings vs the incumbent machine)
An LoA also gives us the authority to manage any administrative tasks, where relevant, on your behalf, taking the hassle out of finding a postal solution that works for you.
Once we have this, our team of mailing experts can then do what they do best and make sure that your switch goes through without an issue so all you have to do is sit back, relax and enjoy your new technology and the savings it brings.
The Mailing Expert Act on your behalf
With a LoA, we can assist you in switching mailing providers, fulfilling our promise to take care of the nitty-gritty so you don’t have to. Our postal solution review team are experts when it comes to this kind of thing; we make sure that it’s done as quickly and efficiently as possible.
By submitting this LoA, you’re not signing your life away. We are committed to being completely transparent about how we operate and the fact that we ask you to sign an LoA before we proceed should give you assurance that we are working with your best interests at heart.
It’s simply giving us permission for us to speak to suppliers on your behalf. This process is standard across the whole industry.
Find your LoA here
To make it even easier for you, we have provided our own LoA for use within The Mailing Expert, this is available for instant download so you don’t have to go to the trouble of writing your own.
Our LoA explicitly states that while we can gather information, negotiate and submit notice of termination on your behalf, we do not have the right to agree a contract without your consent. This means that the only contracts you will be agreeing to are ones which you have selected and approved.
Once you have made your initial enquiry and request for our support, you will be sent a LoA to ensure we can support your review of mailing solutions and so your chosen solution and any potential switch of providers proceeds smoothly.
All you need to do is print it out on paper, complete, manually sign and return with a short cover letter on your company letterhead. Make sure it is manually signed by an authorised signatory for your business and then pop it in the post or email it back to us from your business email address and wait for the savings options to come back to you. You will be on a cheaper mailing solution agreement in no time.
